Booking Terms

At Viaggi Laurenti Safaris, we aim to provide a seamless, transparent, and enjoyable booking process for our clients. Our booking terms ensure that your experience with us is hassle-free and that both parties understand the expectations for a smooth journey. Below are the key booking terms that every client should be aware of when booking their safari or tour with us.

  • Booking Confirmation
  • To confirm your booking with us, a deposit of 30% of the total tour price is required at the time of reservation. The remaining balance must be paid at least 30 days before the tour departure.
  • Online Booking
  • Bookings can be made through our website or by contacting us directly via phone or email. Once a booking is made, we will send you a confirmation email along with details of your itinerary and booking terms.
  • Personalized Itineraries
  • If you require a personalized or customized itinerary, we are happy to assist. Please allow at least 1-2 weeks for preparation, depending on the complexity of the request.

    Cancellation Policy

    We understand that plans can change. If you need to cancel your tour, the following cancellation policy applies:

  • More than 60 days before departure
  • Full refund of the deposit amount minus a 10% administration fee.
  • 30-60 days before departure
  • No refund. We encourage clients to consider travel insurance to cover unforeseen circumstances.
  • Cancellation due to Force Majeure (e.g. natural disasters, pandemics):
  • In cases of force majeure, we will either reschedule the tour or offer a full refund.

    Changes to Booking

  • Rescheduling
  • If you wish to change your tour dates or itinerary after the booking is confirmed, please notify us at least 30 days before the tour starts. We will do our best to accommodate changes, subject to availability, and a change fee may apply.
  • No-show
  • In the case of a no-show, no refunds will be issued, and the client is responsible for any additional costs incurred.

    Refund Policy

  • Refund Process
  • Refunds for canceled or amended bookings will be processed within 14 business days from the cancellation date. Refunds will be made through the same payment method used for the initial booking.
  • Tour Interruptions
  • If a tour is interrupted due to unforeseen circumstances (e.g. bad weather, road closures), Viaggi Laurenti Safaris will make every effort to reschedule activities. If the interruption cannot be resolved, partial refunds may be issued.

  • We take the health and safety of our guests seriously. For safaris and gorilla trekking, we will recommend necessary equipment and guidelines when applicable.

    Accommodation and Transport

  • Accommodation
  • Accommodation is subject to availability and will be booked according to the selected tour package. If your preferred accommodation is unavailable, we will notify you in advance and offer alternatives of similar or better quality.
  • Transport
  • All transportation is included in the tour package (unless specified otherwise). We provide comfortable, safari-specific vehicles with professional guides. If you prefer a private vehicle, please request it at the time of booking.

    Responsibility and Liability

  • It is the responsibility of each guest to ensure they have all necessary travel documents, such as passports, visas, and any required health certifications (e.g. yellow fever vaccination).

  • If you have any special requests, such as dietary restrictions, accessibility needs, or birthday celebrations, please inform us in advance. We will do our best to accommodate all requests to make your experience as comfortable and enjoyable as possible.
  • Private language guides
  • For an enhanced experience, we offer private language Italian, Germany, French and Spanish speaking guides for a more personalized and exclusive tour. Please request a private guide at the time of booking.
